Privacy Policy

Wind Horse Notary LLC is a mobile notary and document service. To do the work we need a few things from you: how to reach you, where and when to meet you, and sometimes the document itself. This page explains what we collect, why, how long we keep it, and who else ever sees it.
The short version
- We collect what we need to quote, schedule, and perform your service, and nothing else.
- We never sell, rent, or trade your information.
- Documents you upload are stored privately. They are never published at a web address anyone can reach.
- Choosing an appointment time on our booking page sends your name and email address to Google.
- We count visits with software we run ourselves. It sets no cookie, keeps no address, and never sees what you write in a text box.
What we collect
Contact details
Your name, email address, phone number, and the address or facility where the appointment takes place. We ask for these on the request form, and we use them to reach you and to arrive at the right place.
Appointment details
The service you asked for, your town, the date and time you need, how many notarial acts are involved, whether you need witnesses, and anything you tell us in a message field. These answers are also what your price is calculated from, so they are stored with your request along with the quote you were shown.
Documents you upload
If your service needs a document in advance (an apostille request or a translation, for example), you can attach files to your request. We keep the file and its original filename with the request.
Technical information
Our server keeps ordinary web logs. When you submit a request we also store a one-way hash of the internet address it came from: enough to stop a flood of junk submissions, and not enough to work backwards to you. We use no advertising or analytics cookies. The only cookies this site sets are for our own staff, and they are never set for a visitor.
We do count visits, with analytics software (Umami) that we run on our own server and that reports to nobody else. It records which pages are viewed, which buttons and links are used, which questions on our forms are reached or left blank, and the choices and counts you pick from our own lists (a service, a town, a number of pages), so we can see where the site is unclear. It never records anything you write in a text box: not your name, your email address, your phone number, your address, or a note. It never records the documents you upload. It also notes the kind of browser and device you use and the town or region your connection appears to come from, but not the address itself. It keeps no cookie and no internet address, and it honours your browser's Do Not Track setting.
Why we collect it
To give you a price, to confirm and keep the appointment, to perform the service, and to keep the business records any company has to keep. We may also use your contact details to follow up on a request you already made, for example if a document is missing or a facility changes its rules.
Separately from this website, Pennsylvania requires a notary to keep a journal of the notarial acts they perform. That journal is a legal record the notary keeps and retains for as long as state law requires. It is not part of this website and is not used for anything else.
Documents you upload
Uploaded files are stored privately, outside the part of our system that serves this website. There is no public link to them and no address that can be guessed. The only way to open one is from inside our own system, signed in as staff, and every view and download is written to an access log.
Ask us to delete a document once the work is finished and we will, unless the law requires us to keep it.
Choosing an appointment time
Our online booking page is a Google appointment schedule. If you use it, the name and email address you enter there go to Google, which handles that information under its own privacy policy as well as ours. Google also sends the confirmation and reminder emails for that appointment.
You never have to use it. Call or text us and we will book the time by hand.
How long we keep it
We keep your request and its details while the work is open, and afterwards for our business records, so we can answer a question about a past appointment and meet ordinary tax and record-keeping obligations. Uploaded documents are removed on request once the work is complete.
Web logs and the hashed internet address are short-lived and are used only to keep the site running and to prevent abuse.
What we never do
- We do not sell, rent, or trade your information to anyone.
- We do not share your documents outside Wind Horse Notary, except with a service partner the job requires (a translator, or the agency issuing a record), and then only what that partner needs.
- We do not add you to a marketing list because you booked an appointment.
- We do not run advertising trackers or third-party analytics on this site. Our own visit counting is described above.
We will disclose information if a law, subpoena, or court order requires it. That is the only exception.
Your choices
Ask us what we hold about you and we will tell you. Ask us to correct something and we will. Ask us to delete a document or a request and we will, unless we are required to keep it. Reach us the same way you would about an appointment. The contact details are below.
Changes to this policy
If this policy changes we will update the page and the date at the top. A material change will be stated plainly rather than slipped in.
